How to declare bookings
You can declare bookings via the Responsible Travel console. (See our instructions on running a dup check to find bookings.) When you are logged in, please click on the ‘Enquiries’ tab at the top, find the customer who has booked and click through to their enquiry details. Here you can see section 2 – Booking details. Click into this section and fill out all information and save. This booking will then be logged in the system.

There are 4 quick and easy steps to confirm a booking:

  1. Find the relevant enquiry by searching on the persons name or email address
  2. Double click on the enquiry and change the 'status' from open to booked
  3. Complete the; reference, travel date, passenger numbers & booking value fields on the booking form
  4. Save
Please declare your bookings as soon as possible when the customer confirms and pays their deposit. This will ensure that we have a clear indication of your conversion rate; the visibility and promotion on our site is based entirely on conversion rate.

When you declare a booking the system instantly updates your conversion rate which means that we can increase the visibility of your products on the site. Your conversion rate will also impact the frequency that our Travel Team staff is able to refer customers to you. The higher the conversion rate = the higher the visibility on the Responsible Travel website.

We send a pre-departure and welcome home email to all customers who have booked via Responsible Travel. This is based on the dates of the holiday that you have entered in the system. Our welcome home emails include a review link for the customer to submit a review of their holiday which will show on the relevant holiday page on the site. We can only do this important communication if their holiday is declared BEFORE they depart. We rely on the information you provide when declaring your bookings so it is imperative that all the booking information is accurate and any cancellations have been marked in the system.
